Recovering 12,400 PLN of overpaid tax for a bakery
We analyzed the accounts of a local bakery from Bydgoszcz. We found errors in cost qualification and recovered funds in 47 days.
Jacek has been running a family bakery in Bydgoszcz for 9 years. He thought everything in his documents was correct until we did a quick review of invoices for the last two quarters. We found errors in utility settlements and modernization costs that led to specific overpayments.
The challenge
A bakery is a tough business where every zloty spent on flour and electricity matters. Mr. Jacek paid high tax advances, but no one checked whether the oven replacement costs from 2023 were correctly entered into tax-deductible expenses. There was a bit of chaos in the papers, and the previous accountant simply did not keep up with changes in regulations regarding technological reliefs.
The company was losing financial liquidity through frozen funds at the Tax Office. Jacek planned to buy a new delivery car, but the bank refused the loan due to low reported profitability. We needed facts, not promises, to straighten this situation out in less than two months.
Our approach
Our Robert, who handled tax audits for 7 years, sat down to work. He went through 142 binders of documents from the last 18 months. We focused on energy costs and specific deductions for the bakery industry. Without fluff – we checked invoice by invoice, looking for errors in rates and missing deductions.
We determined that the control system for the new ovens qualifies for a robotization relief, which no one had mentioned to Jacek before. We prepared precise corrections of VAT and CIT declarations, ensuring that every correction had hard legal justification. We operate within the law, so the documentation had to be flawless before sending it to the office on Grodzka Street.
The solution
We submitted a set of 6 declaration corrections with a very detailed explanation of the reasons for changes. We did not wait for the office's move – Robert personally monitored the progress of the case, contacting the leading inspectors. We showed that the bakery overpaid income tax due to incorrect oven depreciation and incorrect settlement of correcting invoices from the gas supplier.
We closed the entire process in a structure that did not require Jacek to run to offices. We took care of the letters; he took care of baking bread. We also prepared a simple Excel sheet for him so that in the future he could see for himself whether costs are being entered in the correct columns.
Results
Jacek recovered the money faster than he expected. The amount was paid directly into the company account, which allowed for a down payment on a new delivery car and an improvement in liquidity.
